Collecting your diploma

Shortly after defending your thesis, your diploma can be collected from the Graduate Research School. There are several ways to collect it.

Collecting your certificate of achievement

As soon as your file is finalised, your certificate of achievement can be downloaded from your ADUM account: “Administrative Documents” section – “After thesis defense” tab.

No certificates of achievement will be available until the final submission of your thesis to the Documentation Department at the university library has been completed and validated.

No certificate of achievement will be issued in a foreign language. To obtain a translation of your certificate, please contact a certified translation agency.

Issuing of diplomas

PhD diplomas are issued twice a year, subject to receipt of the original copy of the official defense documents and after the final submission of your thesis:

  • Mid-October for theses defended from January to August of the ongoing year
  • Mid-February for theses defended from September to December of the previous year

PhD recipients are informed by e-mail via their ADUM account as to when their diploma can be collected, according to the 2 periods indicated above.
Diplomas are drawn up once and must be carefully kept.

If you have lost your diploma:

A diploma is always issued in a single copy. In the event of loss, destruction (ex: flood, fire, etc.) or theft, you may request a duplicate.

Only the graduate school having issued the original diploma is authorised to issue a duplicate.

All requests must be sent using the form provided here to the Admissions Office by post or e-mail. The duplicate will be sent in the same way as a diploma.

If your civil status has changed:

In the event of a change in family name, first name or gender, you must provide proof of the change in order for a duplicate to be issued.

You can also use the form provided here to add your usual name to the family name on the diploma (provide proof of this right of use by submitting an official copy of the civil status certificate, photocopy of the family record book, ID card, etc.).

How to collect your diploma

PhD Graduation Ceremony

The doctoral diploma can be collected on the day of the university’s annual graduation ceremony as long as the PhD graduates are signed up for the event and their files have been submitted to the university library.

In person

No appointment necessary on Monday, Tuesday and Thursday mornings only

Your diploma can be collected on presentation of a valid proof of ID. The following are considered valid: national identity card, passport, driving licence.

Student cards, transport cards, social security cards, etc. are not considered as proof of identity.

By a third party

If you are unable to collect your diploma yourself, it can be collected by someone else.

Your diploma can be collected on presentation of:

  • a completed and signed proxy form (download a template here)
  • the third party’s valid proof of identity
  • a photocopy of your proof of identity

The following are considered valid: national identity card, passport, driving licence.

NOTE: Student cards, transport cards, social security cards, etc. are not considered as proof of identity.

By post

By sending a request (download the request form here) to the Admissions Office, Administrative Officer in charge of your thesis defense.

 

  • For postage in France or Europe: provide an A4 envelope, cardboard backed if possible (to protect the diploma), together with a coupon for registered mail with acknowledgement of receipt, stamped at the “up to 50 grams” rate, both including your name and address.
  • For postage OUTSIDE Europe: provide a cardboard-backed A4 envelope, together with a coupon for registered mail with acknowledgement of receipt, stamped at the “up to 50 grams” rate. Both should include the address and contact details of the French Embassy or Consulate closest to your place of residence.

Authentication of the diploma for a third party

The Graduate Research School is able to authenticate PhD diplomas issued by the University of Bordeaux.

Requests can come from an organization, a company, or an institution and must be addressed to: inscriptiondoctorat@u-bordeaux.fr. All requests MUST be accompanied by the written authorization of the individual using the dedicated form.
